Your Project Profitability Depends On Your Time Data

Damn boring subject, I know. 🥱 I’ll call this DBS – not BS. 😆

Money talks isn’t my strength. But it’s non-negotiable when it comes to any kind of business development. We always learn. 💪

Whether you’re a digital agency owner, startup founder, generally small business owner, or a nonprofit leader, ensure to track time accurately and consistently.

Why is this important?

  • You can track costs in the moment so your project doesn’t go over time & budget
  • You can count actual delivery cost and secure profitability
  • You will be able to say more accurately what client’s project may take re time & effort
  • You will be able to decide if you need to start hiring to finish the project successfully

In my system I have a Project Health dashboard which can quickly show how we’re doing.

To allow for such insights, you need to implement and ensure:

1️⃣ Mandatory time tracking for all billable and key non-billable tasks/roles
2️⃣ Daily or near-daily logging – not end-of-week memory guesses (I never remember on Friday what certain task took me on Monday – and don’t want to 😇)
3️⃣ Clear task / role structure (e.g., Discovery, UX, Design, Dev, QA, PM)
4️⃣ Separate billable vs non-billable time on the project (e.g., development, planning, internal R&D, sales, support)

You can use almost any app you’re familiar with capable of task tracking and allowing for customizations.

I use Fibery as my business operating system where I have CRM, HRM, Delivery, Marketing and other spaces – all live in one system.
